WHAT DOES A SECRETARY DO?
IRS Secretaries work in every Business Unit (BU) and provide a wide
range of administrative and secretarial services within an
organization. This may include using a variety of computer
applications, organizing and maintaining files, providing telephone
and receptionist services, arranging conferences and meetings, typing
and reviewing correspondence and meeting minutes, arranging travel
itineraries, and briefing the manager on important issues.

SECRETARY
QUALIFICATIONS REQUIRED:
Applicants must be a certified typist with a minimum typing speed of
40 words per minutes (based on a 5-minute sample with 3 or fewer
errors).
To qualify for the grade 5 level, you must have 4 years of education
above the high school level.
OR
Have one year of specialized experience equivalent to the grade 4
level in the Federal government.Examples of experience
qualifying as specialized include:preparing, receiving, reviewing,
and verifying documents; processing transactions; maintaining office
records; and locating and compiling data or information from files
and other data sources. This list is not inclusive.
OR
You may qualify based on a combination of education and qualifying
specialized experience as described above. Only education in
excess of 60 semester hours or 90-quarter hours is creditable toward
meeting the specialized experience requirement for the GS-5 level.
For example, one full year of academic study (30 semester hours, 45
quarter hours, or 720 formal classroom hours) beyond the second year
is equal to 6 months of specialized experience.
If you worked part-time, the work must be prorated based on a 40-hour
of work.For example, six months of part-time work that was 20
hours per week counts as three months of experience.
To calculate your combination of education and experience use the
following formula:# of semester hours completed (in excess of 60
semester hours) divided by 60 semester hours + # of months experience
divided by 12 months of experience.If your answer is one or more,
you have the required combination.
If calculating based on classroom hours use the following formula:
# of classroom hours completed (in excess of 1440 classroom hours)
divided by 1440 classroom hours + # of months experience divided by
12 months of experience. If your answer is one or more, you have the
required combination.
Example: Applicant has 80 semester hours of education and 9 months of
experience(Use only the education in excess of the first 60 semester
hours)
80-60= 20
20/60 =.33
9/12= .75
.33 + .75=1.08
Applicant meets the required combination.

* Additional credit will not be given for duplicate coursework
(courses will be counted only once)
* Part-time experience will be prorated Part-Time or Unpaid
Experience: credit will be given for all appropriate qualifying

EVALUATION OF FOREIGN EDUCATION: Qualifying education from colleges
and universities in foreign countries must be evaluated in terms of
equivalency to that acquired in U.S. colleges and universities.

submit sufficient evidence, including transcripts; to an accredited
private organization for an equivalency evaluation of course work,
including grade and credit conversion, and degree. You must provide a
copy of the letter containing the results of the equivalency
evaluation as supporting documentation. Failure to provide such
documentation when requested will result in lost consideration.

time of appointment that they have registered with the Selective
Service System, or are exempt from having to do so under Selective
Service law.
You will be:

As a Secretary you will perform a variety of secretarial and
administrative clerical services for an assigned function.
You will:
- Receive telephone calls, give routine and non-routine information,
answer questions and direct calls and visitors to appropriate person
or office.
- Receive and control mail and suspense items, routing them directly
to the appropriate person or office for action.
- Prepare and type a variety of correspondence, reports, forms,
requisitions, requests for personnel actions and legal documents
etc., using word processor or personal computer.
- Organize and maintain files, records, manuals, handbooks, and other
related materials.
- Maintain supervisor's calendar; schedule appointments and
engagements, prepare notes regarding topics to be discussed; make
travel arrangements and prepare travel vouchers.
- Where applicable, provide basic coordination and pertinent
information on office functions to subordinate clerical staff and
managers.
